Conflict of Interest (CoI) in CCM/E
A Conflict of Interest (CoI) arises when a CCM/E member’s personal, financial, or professional interests could compromise their ability to make impartial decisions within CCM/E. Proper CoI management is essential for maintaining transparency, fairness, and trust in decision-making. The CCM/E’s CoI Policy and Governance Manual emphasize the importance of disclosing and managing CoIs during meetings, discussions, and grant implementation to prevent undue influence and uphold ethical standards. The Ethics and Governance Committee (EGC) and Ethics Officer collaboratively oversee CoI management and ensure that all cases are handled fairly and in line with established policies and procedures.
What CCM/E Members and Alternates Should Do When a CoI Occurs
To uphold ethical governance, members and alternates must take immediate steps when a CoI arises:
- Disclose the conflict before discussions or decisions take place.
- Avoid influencing discussions or voting on matters where a conflict exists.
- Recuse themselves from voting when decisions related to their conflict are being made.
How the Ethics and Governance Committee and Ethics Officer Manage CoI Cases
The EGC and Ethics Officer work together to ensure that all CoI cases are addressed fairly and transparently:
- Advise members on recusal or abstention when required.
- Document all CoI cases, including disclosures and decisions.
- Investigate undisclosed conflicts while ensuring due process and confidentiality.
- Recommend corrective actions if violations occur to maintain ethical governance.
Gifts and Favors – What to Accept and When to Decline
Receiving gifts or favors can create ethical risks. CCM/E members must ensure that accepting a gift does not influence their decision-making. CCM/E CoI policy guidelines define acceptable and unacceptable gifts to protect integrity and prevent undue influence.
Reporting and Documentation of CoI
Accurate reporting and documentation are key to ethical governance. Every CoI disclosure and decision will be properly recorded to ensure transparency, accountability, and compliance with CCM/E governance manual.
